Each item is scanned as it leaves your control. You get the manifest before the van does.

Into the vehicle.
Scanned in. Low-profile armored transport, unmarked, armed and background-checked personnel.

At the vault.
Scanned in and shelved to a recorded location.

On retrieval.
Scanned out, and scanned again when it reaches you. The loop closes.

At destruction.
Scanned against the certificate, serial by serial, with you present if you want to be.

Why it matters more than the vault does
Media almost never goes missing from a vault. It goes missing in the gap — the trip, the handoff, the person who took it home. A scan at every transition is what turns "we think so" into a record. Common questions
- What is recorded at each scan?
- The item barcode, the timestamp, the location, and who handled it. Every handoff, in both directions.
- Can we get custody history for one cartridge?
- Yes. Any item we hold, its full movement history, on request.
- What if a scan is missed?
- It is flagged as a gap. A visible gap is a problem you can fix; an invisible one is what an audit finds.
- Do you serialise destroyed media?
- Yes. The certificate lists every serial, the method, the date, and who witnessed it.
